Scare in the Square Marketplace Vendor Application

Harmony Square is home to many free programs and events each year. Scare in the Square is a Halloween-themed event that transforms the Square into a family-friendly hub of spooky fun, featuring interactive activities, seasonal entertainment, and live performances. Guests can enjoy a festive marketplace, along with food vendors and community activations that bring the Halloween spirit to life. This event brings together families, local businesses, and the community for an engaging and imaginative experience, and we are excited to welcome Marketplace vendors to be part of this unique activation. If you are interested in becoming a Marketplace Vendor, please fill out this application.

Personal information on this form is collected under the authority of section 10(1) of the Municipal Act, 2001, as amended and will be used solely for contacting potential food vendors interested in participating at the City of Brantford Scare in the Square event. There are two days and times available to be a Marketplace Vendor at Brantford’s Scare in the Square event. Please select the dates that you are interested in being a food vendor (select all that apply)
 
Each 10 foot by 10 foot space will cost $50 per day. How many 10 foot x 10 foot spaces do you require at the event? The maximum number of spaces allowed per vendor is two.
 
City of Brantford official photographers and City staff would like to take photos/video of your booth for promotional and marketing purposes. Please indicate if we have your permission to do so.
 

Trick-or-Treating for event attendees will be held on Saturday, October 3, 2026 from 2:00 pm to 4:00 pm. Vendors who participate will have their business name added to the trick-or-treating map that is distributed to attendees. The approximate number of children expected to participate is 800. You would be responsible for providing your own treats.

By submitting this application, you are confirming that you understand and agree to the following:

  • NEW! Insurance coverage is mandatory for all Marketplace Vendors. All approved vendors must provide a Certificate of Insurance, in the amount of $2 million general liability listing the Corporation of the City of Brantford (58 Dalhousie Street. PO Box 818, Brantford, ON, N3T 2J2) as additional insured and noting that it is "For the activities held at 89 Dalhousie St, Harmony Square on Oct 2 and 3, 2026”.
  • Marketplace Vendors will not be able to attend the event without a completed application, certificate of insurance and full payment.
  • Registration fees are non-refundable.
  • City of Brantford staff has the right to refuse a vendor if deemed inappropriate or unsafe.
  • Marketplace Vendors have no exclusivity.
  • Two of the same type of product vendors may be accepted, this is at the discretion of City of Brantford management. Marketplace Vendors are accepted on a first-come, first-serve basis.
  • Marketplace Vendors are required to provide their own extension cords, tables, chairs, tents, tent weights, etc. There are no exceptions.
  • Tents must be weighed down using a minimum of 40 pounds per leg. Tent pegs cannot be used.
  • Requests for specific booth locations will not be honoured, and cannot be changed prior to the event or the day of.
  • Information on booth locations, parking and set up instructions will be sent the week prior to the event.
  • If you leave before the end of the event, your vehicle cannot be brought onsite to load out.
  • Marketplace Vendors will be charged an additional $50 fee if their area is left a mess when you leave. Your area is your responsibility, please take care of it.
